The announcement text:
Prestigious real estate development firm seeks dynamic Office Manager for their New York office. In this highly visible key role, this sophisticated, tenured professional will parlay their prior office/facilities management expertise into this dynamic and exciting growth project for our New York development. Candidate must possess 5+ years of direct office and facilities management experience handling a multitude of key operational and management duties and should exhibit superior communication skills and advanced proficiency in Microsoft Office Suite. Bachelor’s degree from an accredited College is preferred.




Responsibilities:


- Represent the company in a positive and highly professional manner in support of building the company brand in New York City

- Contribute to the successful planning, implementation and documentation of key technical initiatives

- Works closely with the headquarters IS staff to implement standards for overall technical needs including but not limited to: phone systems, computer operations, printers, networks, fax machines, etc.

-Manage documentation to support protocol, including process flow charts, business narratives, specific operation manuals, etc.

- Support, train, interface and participate with peers, users and vendors as needed

- Coordinate with team members to track specific items or duties they are to be performing

- Assist with management and implementation of security procedures for New York

- Coordinate with other company offices to ensure compliance with standard procedures (e.g. document management)

- Follow up on issuance and execution of contracts

- Process all incoming hard copy materials into the proper project filing or action items

- Manage consultant and contractor payment applications, including review of invoices for conformance with contract documents

- Assist in job-specific phases of due-diligence activities, including, but not limited to, coordinating the efforts of third-party consultants with respect to schedule of completing their tasks and arranging their contracts

- Communicate, interact and further develop beneficial relationships with tenants, contractors, architects, consultants and other project team members

- Assist Marketing with various projects, including but not limited to planning marketing events and maintaining contact lists

- Deal tactfully and respectfully with internal and external customers, tenants, visitors, government agencies, vendors, etc.

- Coordinate meetings and meet and greet high-level clients, tenants and other visitors

- Create proposals using PowerPoint and other presentation program/materials

- Responsible for ensuring the office has all necessary office supplies

- Monitors various account balances and activity and prepares some very basic reconciliations

- Composes letters and office correspondence, as necessary

- Provide general support to other operating divisions of the company as needed




Skills and Qualifications:


- Willing to work as part of a team and support the office as needed

- Exceptional verbal and written communication and people skills

- Positive attitude and overall outlook

- Must be able to build relationships at all levels.

- Highly proficient in Microsoft Office including but not limited to: Word, Excel, PowerPoint and Outlook

- Proficiency to learn proprietary software systems utilized by the company

- Ability to work overtime, as needed

- Strong command of current network/server operating systems and applications

- Strong experience in the deployment, support and troubleshooting of HP/Compaq servers

- Exceptional documentation skills

- Technical project management skills

- Must be diplomatic and have a strong focus on customer-service

- Highly motivated, responsible and resourceful

- Strong negotiation and problem resolution skills




Education/Training:


- Bachelor’s degree (or commensurate on-the-job experience)




Experience:


- Requires five years of extensive administrative office experience in a finance or related atmosphere and two years of office management experience.

- Thorough knowledge of all general office practices, protocols and procedures required.



Salary - $65K + benefits
