POSITION DESCRIPTION
Position: Office Manager
Reports To: Physician
Position Summary
This medical office manager will be the long term face of an established and unique Manhattan surgical practice. We want a personality that is goal oriented, HR and AR savvy, with the ability to build relationships with the patients and the medical staff. Skills include a leadership approach with a humble attitude and a focus on all practice goals, the mainstay of which is quality patient care. The capacity to anticipate the Patient’s and Physician’s needs and formulate a plan to meet those ongoing needs is required. Problem identification is of utmost importance as well as the ability to create plans of action to address problems as they arise. The ability to assume and delegate responsibility and deal with people of all intellectual, foreign and professional backgrounds is a must.
Job Duties and Responsibilities
- Supervises front desk, surgical coordinator and billing staff of established Upper East Side surgical subspecialty practice and affiliate business divisions.
- Reviews and prioritizes A/R on a weekly basis. Maintains current knowledge of activities, policies and billing/collections within the business divisions, working with the billing division to assure excellent collection rate each month. Must know medical billing and be familiar with all levels of A/R tracking, internet usage and computerized medical management softwares. Identifies A/R problems and devises action plan assumes ountability for A/R oversight and timely completion.
- Outstanding phone communication: Interacts with surgical patients, overseeing surgical coordinator. Accurately communicates information to patients and staff in a concise manner. Functions as back-up and supervisory liason to front desk, billing supervisor and surgical coordinator to facilitate patient satisfaction at all levels of patient/practice interaction. Oversees scheduling of appointments, give directions and any other information staff or patient may require to facilitate quality patient experience. Maintains clear understanding of insurance/fees/consults and patient scheduling. Follows and implements recommended training protocols for standard patient questions. Provides phone training when needed to support staff.
- Ensures that all paperwork, patient balances, contact information, HIPAA sheets are accurate and filed in appropriate places for easy access for next days schedule. Maintains confidential records of patients.
- Maintains accurate records in medical management (Lytec) software. Researches and implements electronic medical records transition in 2010.
- Facilitates marketing and PR strategies: Participates in monthly SEO online meetings. Implements changes to and development of websites. Tracks and schedules all media and consulting opportunities. Tracks, contacts and books all patient, client and media lead interest coming through websites. Facilitates email campaigns to educate patients and clients on various events, products and services.
- Follows all procedures and standards as outlined in the employee manual. Manages staff files and records. Manages all vendor accounts. Maintains accurate employee timecards for payroll reports.
- Tracks key billing, financial, marketing and PR performance indicators for practice, keeping all aspects on target each month/quarter/year. Functions as project management facilitator for future implementation of operational systems to further the practice.
- Recruits, motivates and develops staff to enhance all aspects of the practice to provide the ultimate in the patient experience. Conducts 30/60/90 day employee evaluations with new hires and annual reviews.
- Communicates with staff of affiliate Medical Spa facility. Keeps track of reports given by spa staff of client flow/purchases and clinical / sales activity through this separate facility.
- Facilitates compliance with Local, State, and Federal regulations, including OSHA and all practice procedures.
- Overall responsibility for office cleanliness, neat and professional appearance and organization. Checks availablity of supplies in lobby/check in-out areas and patient restroom. Stocks all reading/educational materials for patients.

Education Experience
The job requires knowledge equivalent to that which would normally be acquired by completing a 4 -year college degree program in business administration or equivalent, and 4-6 years of related and progressively more responsible or expansive work experience in a medical environment, including demonstrated billing, organizational, problem solving, communication skill, and 3 years supervisory experience.
